The AI Setup Advisor is a conversational tool that helps people find the right AI tools for their work. It is created and maintained by Travis Ross. This policy explains what data is collected, how it is used, and how you can opt out.

What we collect

When you use the advisor, the following data is stored:

Conversation text — the messages you send and the responses you receive
Structured metadata — categorical information extracted from the conversation, such as your role (e.g., "program manager"), industry (e.g., "education"), productivity suite (e.g., "Google Workspace"), and comfort level with technology
Session information — a random session identifier, the workshop you came from (if applicable), and timestamps

What we do not collect

Your name, email address, or any account credentials
Your IP address (not logged by the application)
Browser fingerprints or tracking cookies
Any information from other tabs, apps, or files on your device

How the data is used

Conversation and metadata are used to:

Improve workshop content and the advisor's recommendations
Understand which AI setup paths work best for different user profiles
Develop better tools and resources for people adopting AI

Anonymization

Conversations are not linked to any personal identity. There are no user accounts, logins, or identifiers that connect a conversation to a specific person. The metadata extracted is categorical (e.g., "small nonprofit," "Google Workspace") rather than identifying.

Aggregate data use

Anonymous, aggregate conversation data may be:

Used for research on how people adopt AI tools
Published in aggregate reports or academic work (e.g., "43% of workshop participants used Google Workspace")
Licensed to third parties in anonymized, aggregate form

Individual conversations are never shared, sold, or published. Only aggregate patterns and statistics derived from many conversations may be shared or licensed.

Data retention

Conversation data is retained indefinitely unless you opt out. Opted-out sessions are marked for exclusion from all exports and aggregate analysis.

Organization-specific policies

Workshops run for specific organizations may have additional data handling agreements negotiated with that organization. If your organization has arranged a workshop with specific data requirements, those terms take precedence over this general policy. Contact Travis Ross for details.

Opt out

You can opt out of data storage at any time. When you opt out, your future conversations will not be stored, and any current session will be marked for exclusion from exports.
